The Plain English Version

Before we get into the official wording, here’s the heart of it:

  • Your spot is secured once payment is made.

  • Payments are non-refundable (these shoots require vendor commitments and production costs).

  • If you can’t attend, you may request to transfer your spot with approval.

  • If we must cancel, you’ll receive a full refund of your registration fee.

  • You may use the images in your portfolio and on social media — just credit vendors and do not submit to publications without permission.

  • Please do not present the styled shoot as a real client wedding.

  • Respect rotations, creative direction, and fellow attendees.

  • You are responsible for your own equipment and personal safety.

  • The workshop may be photographed or filmed for marketing purposes.

In short: this is a thoughtfully curated experience built on trust, creativity, and community. These terms simply protect the integrity of that space.

Official Terms & Conditions

1. Registration & Payment

Registration is confirmed once full payment, or the first approved instalment of a payment plan, has been received.

The fee for both sessions (*cannot be split up), is $175 plus taxes. This totals $201.21

All payment plans must be completed by the stated deadline. Failure to complete payment may result in forfeiture of your registration without refund. payment and non-refundable retainers ($100) can be made via e-transfer to: critesem@gmail.com

Workshop registrations are non-transferable without prior written approval.

2. Cancellation & Refund Policy

Due to vendor commitments, production expenses, and limited availability, all payments are non-refundable.

If you are unable to attend, you may request to transfer your registration to another photographer, subject to written approval.

If Old Souls Union cancels the event due to unforeseen circumstances, a full refund of the registration fee will be issued. Old Souls Union is not responsible for travel, accommodation, or other personal expenses incurred.

3. Styled Shoot Image Usage

Old Souls Union workshops include curated styled shoots created for portfolio development and creative growth.

By attending, you agree:

  • Images may be used for personal portfolio use, website, and social media.

  • The styled shoot may not be represented as a real client wedding or commissioned event.

  • Images may not be sold, licensed, or redistributed to third parties.

  • Images may not be submitted to blogs, publications, or competitions without prior written permission.

  • Full vendor credit must be included when sharing images.

A vendor credit list will be provided and must be used when posting.

All attendees are granted non-exclusive portfolio usage rights.

4. Creative Structure & Participation

Workshops are intentionally structured to ensure a balanced and collaborative experience.

Attendees agree to:

  • Respect assigned shooting rotations and time limits.

  • Follow creative direction provided during the workshop.

  • Refrain from interfering with another attendee’s shooting time.

These guidelines protect the integrity of the experience for all participants.

5. Community Conduct

Old Souls Union is built on empathy, collaboration, and mutual respect.

Harassment, discrimination, disruptive behaviour, or aggressive self-promotion will not be tolerated. Old Souls Union reserves the right to remove any attendee whose conduct compromises the safety or experience of others. Removal will occur without refund.

6. Assumption of Risk & Liability

By attending, you acknowledge and accept responsibility for your personal safety and equipment.

Old Souls Union/Emily crites is not liable for:

  • Personal injury

  • Lost, stolen, or damaged equipment

  • Weather-related disruptions

  • Conditions of the venue or outdoor location

Attendance is at your own risk.

7. Force Majeure

If circumstances beyond reasonable control — including but not limited to weather, illness, venue cancellation, or government restrictions — require postponement or restructuring of the event, registration will transfer to the rescheduled date.

Refunds will not be issued due to force majeure circumstances.

8. Media & Marketing Release

Old Souls Union workshops may be photographed and/or filmed for educational and promotional purposes.

By attending, you grant Old Souls Union/Emily Crites permission to capture and use behind-the-scenes photo and video content that may include your likeness, voice, and participation.

This content may be used for:

  • Website and sales pages

  • Social media marketing

  • Email marketing

  • Educational materials

  • Future workshop promotion

No attendee will be portrayed in a misleading or defamatory manner.

If you prefer not to appear in marketing content, you must notify Emily in writing prior to the event. Reasonable efforts will be made to accommodate such requests; however, full exclusion from group footage cannot be guaranteed.
